The Basics:

• Logging In: – You can log in to your LuciVision account by going to our main website located at http://www.lucivision.com and clicking log in, which will take you to our login screen for the LuciVision web application. – You can also bookmark the login page to directly access it. – Enter your username and password provided by LuciVision or your administrator and click submit to log in to the system. |
||
• Supported Browsers: – The LuciVision web-app works with Google Chrome and Mozilla Firefox. Either browser is a good choice, but for the best user experience, we recommend using Google Chrome. – The LuciVision web-app also works on iOS and Andriod platforms as well. |
||
The Header:

• Group Selector: – The group selector is a dropdown list of groups that the currently logged in user has access to which is alphabetized and broken down into two categories of active and disabled. – A group can become disabled by manually setting it (see section about backend group management) or, automatically, if the group is no longer accessible in BroadSoft. – When you select a group from the dropdown list, it will load that group into what we call the viewer, even if the group is disabled. – You can change the group you are viewing at any time by changing the selection in this dropdown list. – If there is a group in your BroadSoft partition that is not in this list, it means that your user does not have permission to that group. |

• Snapshot Selector: – The snapshot selector is a dropdown list that will allow you to load data from various snapshots within each group. – A snapshot contains all data of a group at a specific point in time and allows you to load that data into the viewer any time you need to. – When selecting a group, the most recent snapshot will automatically be loaded into the viewer. – The time stamp shown in the snapshot selector shows when the snapshot was last verified with BroadSoft. |

• User Dropdown Menu: – The user dropdown menu allows you to log out or navigate back to the dashboard. |
||
• Search Anything Box: – Once a group has been loaded into the viewer, a search box becomes available in the header to the right of the user dropdown list. – You can search for anything (including partial matches) and the system will search the entire group and once complete, will show you the search results. |
The Dashboard:

• Alerts & Notifications: – Alerts & Notifications will notify you of potential problems with your group configurations. – The most recent notifications will be placed at the top of the list and the system will not show duplicates. – If a notification that already exists is triggered, the system will update the timestamp for that notification, moving it to the top of the list. – If you want to view all notifications, click on the “View All Alerts & Notifications” link to open a pop-up windows displaying all notifications. – Notifications are not deleted if resolved and will instead naturally fall to the bottom of the list. |

• Activity History: – The “Activity History” displays recent activity within your LuciVision account. |

• Group Statistics: – Group Statistics offers a quick look of various stats for all of your groups. – These stats are derived from all groups within your LuciVision account and not restricted by user level permissions. |

• Administration: – Sync To BroadSoft shows you a real-time status page with details on messaging to BroadSoft. – Account configuration will take you to a back-end administration page. |
The Progress Bar:

• QuickDiff Overview: – When you load a group into the viewer a QuickDiff process is started and a progress bar will provide details on the process. – A “Quick Diff” is a process of checking the list of objects and their critical fields within the LuciVision data model directly with BroadSoft to identify any changes. |

• How It Works: – If no changes are found during the QuickDiff, the progress bar will fill up and you will see it say, “Scan Complete” below the progress bar. – If a change has been found during the QuickDiff, the system will automatically start a FullDiff to gather all data from BroadSoft for the customer group. – When a FullDiff has started due to changes found during the QuickDiff, the progress bar will change color to a lighter teal. – Once a FullDiff has completed, a new snapshot is created and a notification window will pop up allowing you load the new snapshot into the viewer. |
||
• Special Considerations: – The larger a customer group is, the longer the QuickDiff and FullDiff will take. – LuciVision allows you to make changes while both a QuickDiff or FullDiff are being performed. – If you choose to load new data, the web page will refresh and load the newly created snapshot into the viewer, erasing any unsaved changes. – If you choose not to load the new data/snapshot, you can continue making changes and save them to BroadSoft. Please note that when saving changes in this manner only the changes you have made will be saved to BroadSoft, it will not change anything you have not specifically changed. Also, the changes will be saved in the existing snapshot you have loaded and not the newly created snapshot. – We recommend if you choose not to load the new snapshot and make changes that once complete, you perform a manual snapshot to ensure that everything is in Sync with BroadSoft. Otherwise, the system will Sync up automatically the next time a QuickDiff or FullDiff is performed. |
The Enterprise Map:

• Enterprise Map Overview: – Any group object that is supported and has a phone number assigned to it will appear on the Enterprise Map. – LuciVision’s Enterprise Map currently supports; Auto Attendants, Hunt Groups, and Call Centers. – The Enterprise Map is dynamically and automatically created from the data within BroadSoft which means it is always accurate and does not need to be independently maintained. – You can also take screenshots of the Enterprise Map to provide to your end users or even give them access to LuciVision directly. |

• Understanding The Enterprise Map: – The Enterprise Map consists of “Nodes” (BroadSoft Objects) and “Lines” (Connections Between Objects). – Connections between BroadSoft objects are represented by two different types of lines. – Dashed lines represent “possible” routing such as forwarding after 20 seconds. – Solid lines represent “absolute” or “default” routing such as an auto attendant’s menu options. – Objects have different icons; Users are a silhouette of a person, hunt groups are a blue group of people, call centers are a green group of people and auto attendants are red blocks connected by lines. – A plus or minus sign next to an object means you can collapse or expand it. – A green recursive arrow next to an object means it is a duplicate. (See “Recursive Object Feature” below) |

• Interacting With The Enterprise Map: – Holding down the left mouse button on the map and dragging the mouse will move the map around. – Holding down control and scrolling with the mouse allows you to zoom in and out. – Left clicking on a plus or minus sign next to an object will expand or collapse it. – Left clicking a green recursive arrow next to an object will locate its “Master” object. (See “Recursive Object Feature” below) – Right clicking an object will allow you to expand or collapse all. (Warning – Expanding all on a large and complex group at the root level can take an extremely long time for your web browser to load) – Left clicking on an object will open a details view allowing you to modify that object. (See “The Object Details Page” for more info) – You can hold control and left click on an object to highlight it. This can be useful if you want to highlight the path to something for a customer before taking a screenshot. – Hovering over an object may bring up a tooltip. (Note – Not all tooltips have been configured as it is an on-going process) |

• Recursive Object Feature: – When an object would normally appear on the map multiple or even an infinite amount of times due to loops or other configurations of the customer’s phone system, our Recursive Object Feature is implemented. – When an object appears on the map multiple times, we will assign a “Master” and truncate the remaining multiple objects with a green recursive arrow. – Left clicking on this green recursive arrow will cause the Enterprise Map to automatically locate the “Master” object, allowing you to view the routing for it. – When the “Master” object is located, the map will highlight the path to it, making it easy to see. – Left clicking anywhere else on the map will remove this highlighting. |
The Object Details Page:

• Modifying An Object: – All fields currently supported will be shown on the details page if your user has access to them. – If you do not see a field contact your administrator. – Fields are broken into main categories (represented by tabs) and sub categories (represented by collapsable green category headers). – There are currently no dependencies built into LuciVision which means for example, the system will allow you to turn on call forwarding always, even if the service has not yet been assigned to the object. – Changes made are tracked by LuciVision and indicated by yellow markers. – You can undo changes one at a time or undo all changes by using the undo all or undo last buttons. – Services that can be turned on and off but have sub items are accessible by the on and off button and the view button. – When you save data, LuciVision will notify you if all changes were successful or if there were any errors from BroadSoft and if so, what they were. |

• Adding An Object: – All fields currently supported will be shown on the details page if your user has access to them. – If you do not see a field contact your administrator. – Even though LuciVision displays fields on the add page, only fields that are actually part of the add request can be configured when adding an object. – Fields are broken into main categories (represented by tabs) and sub categories (represented by collapsable green category headers). – There are currently no dependencies built into LuciVision. This means the system will allow you to turn on call forwarding always, even if the service has not yet been assigned to the object. – When you save data, LuciVision will notify you if all changes were successful or if there were any errors from BroadSoft and if so, what they were. – You can add another object without having to re-enter all of the data again by changing the unique fields such as User ID and saving again. – When entering the User ID for an object you must include the domain for example userphonenumber@as.domain.com – We currently support adding the following objects; Users, Auto Attendants, Hunt Groups, Call Centers. |
The List View:

• The Toolbar: – The filter box allows you to filter all results in the list including partial matches. – You can export the list to a CSV by clicking the “Export CSV” button. What you see is what you get when exporting. – You can undo changes one at a time or all at once using the undo buttons. – Clicking the save button will save all changes made on the list view to BroadSoft and to the currently loaded snapshot. – You can choose what fields are shown in the list view by clicking the “Select Fields” button which will provide a page for you to select or un-select fields and then save your settings, or reset them to system defaults. |

• The List: – You can choose between showing Users, Numbers, Devices, Call Centers, Hunt Groups, and Auto Attendants. – Left clicking on the green plus icon to the left of the column headings will allow you to create a new object. (See “The Object Details Page” section above for more details) – Hovering over the gear icon next to each row opens a menu allowing you to edit, reset web passwords, reset voicemail passwords, delete, and find the path on the Enterprise Map. – Left clicking the column headings allows you to sort the list. – Read only fields will be greyed out while all other fields are directly editable from the list simply by clicking on them. – Certain fields will have underlined and greyed out numbers in them (For example “assigned Services”) which are called counting fields. – These special “Counting Fields” show you how many of something is assigned, for example services or call center agents. – Left clicking on a counting field will open a window allowing you to edit the records within it. – LuciVision tracks all changes by highlighting them yellow allowing you to undo changes as mentioned previously, or to hover over the field and a tooltip will appear with the original value. – When you save data, LuciVision will notify you if all changes were successful or if not, provide you with details of the BroadSoft errors it encountered. |
Snapshots:

• What, When, How: – Snapshots contain all BroadSoft configuration data for a group at a specific point in time, allowing you to load and view a customer’s complete broadsoft configuration from any snapshot that has been created. – A snapshot can be manually created by clicking the Create new Snapshot button within the snapshots tab, which forces the system to grab all data from BroadSoft and create a new snapshot. – A snapshot will be automatically created any time LuciVision detects a change in the BroadSoft configuration. – The process of gathering all data from BroadSoft and creating a new snapshot is intensive and completion times will vary greatly depending on the size of the BroadSoft group. – When changes are made within lucivision and saved to broadsoft, those changes are saved, and tracked, within the existing snapshot, instead of creating a new snapshot. – If you have a current configuration and want to save it “as is” you should create a new snapshot manually and then make your changes once the new snapshot is loaded. |

• Managing Snapshots: – You can manage snapshot by selecting the snapshots tab from the main viewer once a group is loaded which will take you to the snapshot management page. – The snapshots management page contains a list of snapshots and details about them such as when they were created, the last time they were verified with BroadSoft, the type of snapshot, and a user defined description for the snapshot. – You can also compare differences between any two snapshots by selecting the checkboxes to the left of two snapshots, then you can hover over the options gear icon and select “Compare Snapshots”. – To the right of each snapshot is an options menu that allows you to edit the description for a snapshot or load it into the viewer. |
Audio Management:

• Audio Overview: – You can upload audio files to LuciVision and store them in the audio library to be used throughout the program by clicking on “Upload New Audio”. – LuciVision will automatically convert most files into the correct format for BroadSoft. – You can listen to existing audio files under the Audio Playlist. – You can download or delete audio files under the Audio Management section. – Audio files in your audio file will be available to be selected from any audio field drop down list on both the details page and list view, allowing you to only have to upload the audio file a single time regardless of where you want to use it. – It also allows you to easily switch out audio files for situations where you want to temporarily use an audio file such as inclement weather. |
Alerts & Notifications:

Search Anything:

• Search Anything Overview: – You can search from the search field within search results or from the quick search field in the top right of the page header. – The results will remain on the search results tab until you perform a new search, refresh the page, or load a different group into the viewer. – Matched results show the name of the object, the type of the object, the field name and the value in that field. – Most results can be changed and edited directly from the search results, eliminating the need to go elsewhere to correct issues. – To make changes, click in the field of the result you want to change in the column labeled “Matched Result”. – LuciVision tracks current changes by hightling changed cells yellow. – When you are done making changes you can save all of your changes by left clicking on save and then confirming when the confirmation box pops up. – You can also undo any changes you have made by using one of the two undo buttons, “Undo Last” or “Undo All”. |
